Overview

Appointier provides booking and practice management software for businesses and their clients. This policy explains what personal data we collect, why we collect it, and the choices you have. It applies to our website, web application, and related services.

Where a business uses Appointier to manage its bookings, that business is the data controller for its client data and Appointier acts as a data processor on its behalf.

Data we collect

We collect the following categories of data:

  • Account data: name, email address, phone number, and business details you provide when creating an account.
  • Booking data: appointment details, service selections, notes, and payment status entered by you or the business you book with.
  • Payment data: billing details processed by our payment providers. We do not store full card numbers on our servers.
  • Usage data: log data, device and browser information, and pages visited, used to keep the service secure and improve it.

How we use data

We use personal data to:

  • Provide, maintain, and improve the service.
  • Send transactional messages such as booking confirmations and reminders.
  • Process payments and prevent fraud.
  • Respond to support requests.
  • Comply with legal obligations.

We do not sell personal data and we do not use booking data for advertising.

Sharing and processors

We share data only with service providers that help us run Appointier, such as hosting, email delivery, and payment processing. Each provider is bound by contract to process data only on our instructions and to protect it appropriately.

Website analytics are provided by Google Analytics, a service from Google. It processes usage data such as pages visited, an approximate location derived from your IP address, and device and browser information. Google Analytics runs only after you allow analytics cookies, and you can withdraw that consent at any time from our Cookie Policy page.

We may disclose data where required by law or to protect the rights, safety, or property of Appointier, our customers, or the public.

Data retention

We keep personal data for as long as your account is active or as needed to provide the service. When a business closes its account, its data is deleted or anonymized within 90 days, except where we must retain records to meet legal or accounting obligations.

Your rights

Depending on where you live, you may have the right to access, correct, export, restrict, or delete your personal data, and to object to certain processing. You can exercise these rights by contacting us using the details below.

If you booked through a business that uses Appointier, we may direct your request to that business, since it controls your booking data.

Security

We protect data with encryption in transit, access controls, tenant isolation, and regular backups. No system is completely secure, so we encourage you to use a strong, unique password and to contact us immediately if you suspect unauthorized access to your account.

Cookies

We use cookies to keep you signed in and to understand how the service is used. See our Cookie Policy for details on the cookies we set and how to manage them.

Changes to this policy

We may update this policy from time to time. If we make material changes, we will notify account owners by email or through the service before the changes take effect.
